Understanding contacts
Why use contacts?
Contacts in Curia give you a central place to manage the people and organisations you work for. By linking contacts to your contract reviews, you can:
- Know who you're working for - link client contact records directly to each review so the parties are always clear.
- Find reviews by client - look up a contact to see every review you've conducted for them.
- Track work over time - build a history of the reviews you've completed for each client or organisation.
Contact types
Curia supports three types of contacts:
- Individual - a single person, with their name, email, and phone number. Each purchaser should be created as a separate individual contact. For example, a husband and wife purchasing together should be two separate contacts - "Jane Smith" and "John Smith" - not a single contact "Jane & John Smith".
- Company - an organisation such as a company or corporation, with one or more associated individuals (e.g. directors or representatives). Can include an ACN.
- Trust - a trust entity, with one or more associated individuals (e.g. trustees or beneficiaries).
Companies and trusts always have at least one individual linked to them. A single individual can appear across multiple companies and trusts - for example, a person who is both a company director and a trustee of a family trust.
Two ways to work with contacts
How you manage contacts depends on whether your account has a practice management integration connected.
Without an integration
You have full control over your contacts in Curia:
- Create new individuals, companies, and trusts directly in Curia.
- Edit and delete contacts at any time.
- Link contacts to reviews during upload or from the review itself.
With an integration connected
Your practice management software (e.g. triConvey) becomes the source of truth for contact data:
- Contacts are automatically imported and kept up to date from your practice management software.
- You cannot create new contacts in Curia - all new contacts must be added in your practice management software.
- You can still link imported contacts to reviews.
- Any contacts you created in Curia before connecting remain visible, but the two sources cannot be mixed. See Working with synced contacts for details.
Browsing contacts
The Contacts page organises your contacts into three tabs: Individuals, Companies, and Trusts. Each tab displays a searchable, sortable table.
Use the search bar to find contacts by name, email, or phone number. Results update as you type and submit your search.
Contact profiles
Click any contact to open their profile. The profile page has three tabs:
- Details - contact information including name, email, phone, address, and source.
- Reviews - all contract reviews linked to this contact, showing address, status, title reference, and submission date.
- Companies & Trusts (for individuals) or Individuals (for companies and trusts) - shows the relationships between this contact and other contacts.
You can copy any contact detail to your clipboard by clicking the copy icon next to it.
Duplicate contacts
Curia does not prevent duplicate contacts from being created. This is intentional - two people may share the same email or phone number (e.g. spouses), and some contacts may not have an email or phone at all. When creating a new contact, Curia warns you if a similar contact already exists, but does not block the creation.
Permissions
Contacts are available to all team members, including Admin, Conveyancer, and Reception roles.
FAQ
Can I have duplicate contacts?
Yes. Curia warns you about potential duplicates during creation but does not block them. See Duplicate contacts above.
Can I use contacts without an integration?
Yes. Contacts work independently of any integration. You can create and manage contacts entirely within Curia.
Do I need to re-enter contacts for every review?
No. Once a contact exists in Curia, you can search for and link them to any review. The same contact record is reused across all reviews.
What is the Source column on the Contacts page?
The Source column shows where each contact originated - either Curia (created directly) or the name of your connected practice management software.
