Finalising and downloading your report
Note: The "draft" referred to in this article is the generated report that you edit before downloading - not the draft created when editing your template in the Template Editor.
The Finalise tab
When you're working on a review, the Finalise tab is where you generate and manage the report.
Before the review is complete, the Finalise tab shows:
- A validation summary highlighting any incomplete or invalid fields that need attention
- The Generate Report button (disabled until all required fields are filled)
- A summary of any amendment requests from the review
Generating your report
When all required review fields are complete:
- Click Generate Report.
- The review fields are locked (preventing further changes to the underlying data).
- Your report is generated from your published template, with all merge tags replaced by the actual review data.
The page transitions to the report draft editor, where you can review and refine the generated report before download.
Editing your report draft
The report draft is a fully editable document. You can make any changes needed before delivering the report to your client:
- Edit text directly in the report
- Use the formatting toolbar to adjust styling (bold, italic, lists, headings, tables)
- Add or remove content as needed
We recommend making your edits here rather than in the downloaded Word document. Editing within the application keeps all your changes in one place as a single source of truth. If you need to revisit the report later - for example, if the review is re-opened and a new report is generated - any edits made in the downloaded document would be lost, whereas edits saved here are preserved and can inform future versions.
Autosave
Your report draft is automatically saved every 30 seconds if there are unsaved changes. You don't need to remember to save manually - but you can save at any time using the overflow menu if you prefer.
Manual save
Click the overflow menu (three dots) on the right side of the toolbar and select Save to save your changes immediately.
Downloading your report
When you're satisfied with the report, click Download Word to export it as a Word document (.docx).
The downloaded document includes all your template's document settings - logo placement, page numbers, page breaks, font size, and other formatting options configured in your template's document settings.
Note: In the on-screen report editor, merge tag values appear with a purple highlight to help you identify template-generated content. This highlight does not appear in the downloaded Word document.
If you have unsaved changes when you click download, they are automatically saved before the export begins.
Re-opening a review
If you need to make changes to the underlying review data after generating the report:
- Click the overflow menu in the report toolbar.
- Select Re-open Review.
- Confirm the action.
Re-opening a review:
- Unlocks the review fields so you can update the review data
- Discards the current report draft (any edits you've made to the generated report will be lost)
- Returns you to the standard review editing interface
When you mark the review as complete again, a fresh report is generated from the template using the updated review data.
Tip: If you have unsaved edits to the report, you'll see a warning before the review is re-opened.
Resetting the report
If you want to regenerate the report from your template without re-opening the review (i.e. you want to discard your report edits but keep the review data as-is):
- Click the overflow menu in the report toolbar.
- Select Reset Report.
- Confirm the action.
This discards all edits you've made to the report draft and regenerates it fresh from your template with the current review data. The review fields remain locked.
This is useful when you've made extensive edits to the report draft and want to start over from the template output, or when your template has been updated and you want the report to reflect the latest template.
