Choosing how to manage contacts
Curia supports two distinct modes for managing contacts, and they are not designed to be used together:
- Curia contacts - you create and manage contacts directly in Curia.
- Practice management software contacts - your contacts are imported and managed by your connected integration (e.g. triConvey).
Where possible, we recommend connecting an integration. This keeps your practice management software as the source of truth, syncs automatically and avoids duplicate data entry.
If you started by creating contacts in Curia and later connect an integration, your existing Curia contacts remain visible but most management features are disabled. New contacts must be created in your practice management software going forward, and contacts from different sources cannot be mixed together (e.g. you cannot add an imported individual to a Curia-created company). For the best experience, choose one mode and use it consistently.
How synced contacts appear
Contacts imported from your practice management software appear in your Contacts list. The Source column shows where each contact originated, making it easy to tell imported and Curia-created contacts apart.
On a contact's profile page, a badge in the header shows the source system logo and name.
What you can and can't do
Curia-created contacts
- View and edit contact details at any time.
- Delete contacts, provided they are not linked to any reviews.
- Link to reviews.
- Note: Creating new contacts is disabled while an integration is connected.
Imported contacts
- View contact details.
- Link to reviews.
- Editing must be done in your practice management software - the Edit contact button is disabled in Curia.
- Deleting must be done in your practice management software - imported contacts cannot be removed from Curia directly.
Contact creation
While a practice management integration is connected, contact creation in Curia is disabled. The New contact button on the Contacts page is hidden, and the create option is hidden when linking contacts to reviews.
All new contacts must be added in your practice management software. They are automatically imported into Curia, usually within seconds.
Editing imported contacts
Imported contacts cannot be edited in Curia. On the contact profile page, the Edit contact button is disabled with a lock icon. A tooltip explains that changes must be made in the source system.
Any changes you make in your practice management software are automatically reflected in Curia.
Contacts you created before connecting
If you created contacts in Curia before connecting an integration, those contacts remain visible and you can continue to view, edit, and delete them. However, they operate separately from your imported contacts - you cannot mix contacts from different sources within a single company or trust.
Deleted contacts
When a contact is deleted in your practice management software, what happens in Curia depends on whether it is linked to any reviews:
- Not linked to any reviews - the contact is removed from Curia entirely.
- Linked to one or more reviews - the contact remains visible with a Deleted badge. Curia keeps the contact record to preserve the link to those reviews, so you can still see who the review was conducted for. The contact cannot be linked to new reviews.
If a deleted contact is later restored in your practice management software, it reappears in Curia as normal.
FAQ
Why can't I create new contacts?
When a practice management integration is connected, Curia disables contact creation to avoid duplicate records. Create new contacts in your practice management software and they will automatically appear in Curia.
Can I mix contacts from different sources in a company?
No. A company or trust can only contain contacts from a single source. If the company was imported from your practice management software, all its associated individuals must also come from that system.
A contact was updated in my practice management software but hasn't changed in Curia. What should I do?
Changes are synced automatically. If a change hasn't appeared, try clicking Refresh data on the integration management page to trigger a manual sync.
What happens to imported contacts if I disconnect the integration?
All previously imported contacts remain in Curia. They become read-only historical records. You regain the ability to create new contacts directly in Curia.
Can I delete an imported contact from Curia?
No. Imported contacts are managed by your practice management software. To remove a contact, delete it in the source system. If the contact is not linked to any reviews, it is removed from Curia entirely. If it is linked to reviews, it remains with a "Deleted" badge to preserve the link so you can still see who the review was conducted for.
