Opening exported reports in Microsoft Word

Exported reports require a one-time field update in Microsoft Word to display the table of contents with correct page numbers.

Updating fields when opening a report

When you open an exported report in Microsoft Word, you will see a security prompt asking whether to update the document's fields. Select Yes to ensure the table of contents displays correct page numbers.

If you select No, the table of contents will display the message: "To view the table of contents, please close and reopen this document and select 'Yes' when prompted to update fields." To fix this, close the document without saving, reopen it, and select Yes when prompted.

Manually updating the table of contents

If the table of contents is showing incorrect page numbers or you need to refresh it after opening the document:

  • Right-click anywhere on the table of contents.
  • Select Update Field.
  • Select Update page numbers only.
  • Click OK.

Known issue on Mac

On macOS, if you already have another Word document open when you open the exported report, the table of contents page numbers may all display as "1" - even after selecting Yes on the security prompt.

This occurs because Word on Mac does not fully recalculate page layout for a newly opened document when another document is already active.

Workaround: Manually update following the instructions above. Alternatively close all other Word documents before opening the exported report. When Word opens with no other documents active, the page numbers will calculate correctly.
